Our Process

Getting Started With EQP!

If you are a U.S.-based Independent Insurance Agency with annual revenues between $1.0M and $3.0M and no dedicated accounting person on staff, we would love the opportunity to work with you! To start the process, please fill out our Agency Quote request form and we will contact you to set up the initial quote discussions.

To help you plan for working with EQP!, below is a general onboarding timeline, from the quoting process to your start date:

Timeline: Welcome To EQP!

Step One:

Once your Quote for Services request is received, a video meeting will be scheduled to review your submission and clarify any additional information we need to provide you with a quote.

Step Two:

A Quote for Services will be provided within one to two weeks of the call, reflecting the monthly rate as well as an available start date with EQP!

Step Three:

Upon acceptance of your Quote, an Independent Contractor Agreement will be sent to you, along with an ACH authorization form for your monthly fee(s), for your review and signature.

Your Agency can then begin to establish the access EQP! will need, to work within your management system. That includes:

  • Providing access to your management system with Admin rights. Please note: EQP! requires a dedicated login – we will not share a login with any other users.
  • Provide view access to online banking for each cash account on your Balance Sheet.
  • If EQP! is responsible for retrieving accounting documents such as commission statements or vendor bills from an online source, provide us with login credentials.
  • Provide a list of personnel and who to contact for check printing, missing transactions, etc.

Step Four:

Approximately two weeks prior to your start date, the EQP! Team assigned to your account will meet with your Team, via video. This is an important opportunity for all of us to meet “face to face”, discuss the accounting process we will be following in your Management System, and answer initial questions your Team may have.

When the official Start Date comes, processing within your Management System begins!

Ongoing Support:

Moving forward, Touch Base/Team Pulse Meetings will be scheduled between our Team and yours. Initially, these meetings provide clarification on requests, afford us all the opportunity to course correct, and ensure we’re all moving forward together. As time goes on, the frequency is monthly or quarterly, depending on your preference.
